Orbiton provides business-to-business software for public companies, investor relations teams, and similar organizations. We process information both for our own business purposes and, when providing the platform to a customer, on that customer's behalf under our agreement with the customer.
This policy is a business-facing privacy notice. If a customer uses Orbiton to respond to investor questions, manage contacts, send communications, or analyze engagement, that customer remains responsible for the personal information it asks us to process and for the notices it gives to its investors, prospects, employees, and other users.
1. Information we collect
We collect information that you provide directly, information generated when you use our website or services, and information we receive from customers, service providers, and public or commercial sources.
- Contact and account information, such as name, business email, company, title, phone number, billing details, and login credentials.
- Demo, sales, and support information, such as meeting requests, messages, feedback, survey responses, call notes, and communications with our team.
- Platform content and customer data, such as investor questions, contact lists, CRM notes, approved disclosures, press releases, website or deck content, uploaded files, and instructions submitted to Orbiton agents.
- Usage and device information, such as IP address, browser type, pages viewed, referring pages, timestamps, approximate location, log data, and feature usage.
- AI interaction data, such as prompts, tool instructions, generated drafts, approval decisions, conversation history, model outputs, and operational metadata needed to provide and improve agent workflows.
- Payment and commercial information, such as subscription plan, invoices, payment status, and procurement records. Payment details may be processed by third-party payment providers and are not stored by Orbiton unless stated otherwise.
2. How we use information
- Provide, secure, operate, and improve the website, platform, AI agents, dashboards, CRM workflows, and support services.
- Create and manage accounts, authenticate users, administer contracts, process billing, and communicate about service updates.
- Respond to inquiries, schedule demos, provide customer support, troubleshoot issues, and train our support and sales teams.
- Generate, route, review, and log AI-assisted drafts, answers, analyses, and task outcomes according to customer instructions and approval controls.
- Analyze product usage, measure performance, develop new features, and improve reliability, security, and user experience.
- Detect, prevent, and investigate fraud, abuse, security incidents, unauthorized access, and violations of our Terms.
- Comply with legal obligations, enforce agreements, maintain records, and protect the rights, safety, and property of Orbiton, our customers, users, and others.
- Send marketing communications where permitted by law. You can opt out of marketing emails at any time, but we may still send transactional or service messages.
3. Legal bases for processing
Where privacy law requires a legal basis, we process personal information as needed to perform a contract, operate our business based on legitimate interests, comply with legal obligations, protect vital interests, and with consent where required. Customers that use Orbiton as a processor or service provider determine the legal basis for the customer data they submit to the platform.
4. How we disclose information
We do not sell personal information for money. We may disclose information in the following circumstances:
- To service providers and subprocessors that host, secure, support, analyze, or otherwise help us provide the website and services.
- To AI model, infrastructure, communications, analytics, support, scheduling, payment, and professional service providers as needed to deliver the services.
- To customers and their authorized users, including administrators who can access workspace content, account records, logs, and reports.
- To comply with law, legal process, audits, regulatory requests, securities-related obligations, or lawful requests from public authorities.

5. AI and customer content
Orbiton uses AI systems to help customers answer questions, prepare drafts, summarize information, organize workflows, and surface insights. AI outputs may be incomplete or inaccurate and should be reviewed by authorized customer personnel before publication, investor communication, securities disclosure, or other external use.
We use technical and contractual controls designed to limit access to customer content and route it only as needed to provide the services. Customers should not submit sensitive personal information, regulated financial account data, health information, or other special categories of data unless their agreement with Orbiton expressly allows it and appropriate safeguards are in place.
6. Cookies and similar technologies
Our website may use cookies, local storage, pixels, logs, and similar technologies for security, performance, preferences, analytics, and service functionality. Orbiton operates from Canada and the United States and may process information in those countries and other jurisdictions where we or our service providers operate. Orbiton is a business service and is not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has provided personal information to us, contact us and we will take appropriate steps.
